Belham Wood Kennels – Terms & Conditions

By booking with Belham Wood Kennels, you agree to the following Terms & Conditions.
Payment of a deposit or receipt of a confirmation email constitutes acceptance.

A copy of these Terms & Conditions is available on our website, in reception, or by email.

1. Health & Veterinary Requirements

• Vaccinations

  • Dogs must be fully vaccinated against Distemper, Hepatitis, Leptospirosis, Parvovirus, and Parainfluenza.

  • Boosters must be given within the last 12 months and at least 24 hours before arrival.

  • Restart courses must be completed 2 weeks before arrival.

  • Vaccination certificates must be shown on drop-off (required under the Animal Welfare Act 2018).

• Kennel Cough

  • Vaccination against Canine Infectious Bronchitis (Kennel Cough) is recommended but not required.

  • If given, it must be administered at least 3 weeks before boarding.

  • Belham Wood Kennels is not liable if your dog contracts Kennel Cough, as it is an airborne virus.

• Other Health Requirements

  • Owners must provide the date and product details of the dog’s last worming and flea/tick treatment.

  • Insurance details (provider & policy number) must be supplied (required under the Animal Welfare Act 2018).

  • Dogs found with fleas or worms will be treated at the owner’s expense.

  • An emergency local contact number must be provided on arrival (required by law).

  • Owners must declare any existing or recurring medical conditions, or behavioural issues.

  • Medication & supplements will be given as instructed. Belham Wood Kennels is not responsible for adverse reactions (including diabetic injections).

• Veterinary Treatment & Liability

  • Veterinary fees due to pre-existing conditions, illness, accident, or exuberant behaviour are the owner’s responsibility.

  • Owners must pay vet fees directly or via Belham Wood Kennels.

  • If illness or emergency occurs, Belham Wood Kennels will contact the owner or emergency contact. If unreachable, management will act in the dog’s best interest.

  • Owners give permission for Belham Wood Kennels to sign for emergency treatment.

  • Belham Wood Kennels may use the owner’s vet or another local vet if needed.

  • Belham Wood Kennels may contact the dog’s registered vet for details if required.

  • While every care is taken, Belham Wood Kennels cannot accept responsibility for loss, illness, or death.

  • Dogs sharing a kennel do so at the owner’s risk. Any injuries or fees resulting from aggressive behaviour between dogs will be charged to the owner.

  • If an accident or illness occurs due to fault of Belham Wood Kennels, vet costs will be covered up to £250 (within 36 hours of departure) unless caused by aggressive/exuberant behaviour.

  • Pregnant bitches and those in season are boarded at the owner’s risk.

  • Belham Wood Kennels reserves the right to refuse admission or request collection if a dog is too sick, aggressive, or unsafe to board.

2. Drop-Off & Collection

• All drop-offs and collections are by appointment only during business hours:

  • Monday – Friday: 9.00am – 12.00pm & 1.30pm – 4.00pm

  • Saturday: 9.00am – 12.00pm

  • Closed Sundays & Bank Holidays

• Late or out-of-hours arrivals/collections may be charged £15.

3. Deposits, Cancellations & Payments

• Prices may be revised when necessary.

• Boarding fees must be paid in full on collection before removal of the dog.

• No refunds are given for early collection – full booking fee applies.

• Boarding is charged for the day of arrival.

• No charge if collected before 12 noon on the day of departure.

• Late arrivals are charged from the original booking date (unless cancelled at least 21 days before).

• 21 days’ notice (from original start date) is required to cancel or amend a booking, or the full fee will be charged.

• If an amendment moves the booking by more than 7 days, it counts as a cancellation – the deposit is lost, and a new booking must be made.

• A non-refundable, non-transferable deposit is required to confirm a booking (payable by cash or bank transfer).

• Christmas bookings (24th–31st December):

  • Must be paid in full by 1st December.

  • Refunds only given if 21 days’ notice is provided.

  • Bookings on 25th, 26th December & 1st January are charged at double rate.

  • Bookings made after 1st December for this period must be paid in full at the time of booking.

• Covid-19: Customers book at their own risk regarding travel cancellations. Standard terms still apply.

• If fees are unpaid and a dog is not collected, Belham Wood Kennels may rehome the dog after 14 days’ written notice.

• Grooming, bathing, and transport are not included and are charged separately.

4. Other Terms

• Belham Wood Kennels may refuse admission for any reason.

• Beds, bedding, toys, leads, and collars are left at the owner’s risk.

• Toys are not provided in kennels but are available in play areas. Owners must notify staff if they do not want their dog to have toys.

• Belham Wood Kennels is not responsible for injuries caused by dogs chewing/eating toys.

• Dogs must be on a secure lead with a fitted collar & ID tag on arrival and departure.

• Belham Wood Kennels accepts no responsibility for loss or injury in the car park.

• Permission is granted for Belham Wood Kennels to use photos of dogs on social media, website, or advertising.

• Owners will be charged for damage caused by their dog during their stay.

5. Data Protection

• Belham Wood Kennels complies with the Animal Boarding Establishments Act 1963, the Animal Welfare Act 2018, and GDPR.

• Data collected includes:

  • Owner’s name, address, phone, email

  • Emergency contact details

  • Pet’s details (name, medical needs)

  • Veterinary contact details

• Purpose: to ensure safe care, legal compliance, and emergency contact.

• Data is stored securely and not shared, except with:

  • Local Authority officers (licensing requirement)

  • Veterinary professionals (for your pet’s care)

• Owners may request a copy of their data (response within 30 days).

• Data is deleted if no contact has been made for 6 years.

• Owners may opt out of marketing communications.

• A signed copy of these Terms & Conditions confirms consent for data storage and use as outlined.

Agreement

By signing, I confirm that I have read, understood, and agree to these Terms & Conditions each time my dog(s) boards with Belham Wood Kennels.
